Delivery and Returns

Nature of the service

Ortodocera provides digital orthodontic design services to dentists in the course of their professional practice. What is sold is a design; no physical product is shipped. Orders, approvals and delivery take place in the clinician portal.

Delivery

• The dentist uploads the case records to the portal and submits the case. Design work does not start until payment is confirmed.
• The setup (for aligner design, the staging plan) is prepared for approval within 3 business days of payment confirmation. This is a target; missing records or waiting for information from the dentist pause the clock.
• The design submitted for approval is reviewed in 3D in the portal. The dentist approves it or requests a revision.
• After approval, the design files are released for download in the portal and the dentist is notified by e-mail. The design is delivered when the files are released.
• The dentist downloads the files within 90 days. After that, the case records and files are deleted from the portal.

What is delivered

• Lingual design: setup model, bonding jig design and wire template design (STL).
• Aligner design: a print-ready model (STL) for each stage, a staging video and an IPR (stripping) chart.

Cancellation and refunds

• A case can be withdrawn free of charge before payment.
• If a case is cancelled at the setup stage (from payment confirmation until the setup is approved), half of the design fee and of any expedited delivery surcharge is refunded.
• No refund is made after the setup is approved and the case moves to bracket positioning.
• For bracket-positioning-only orders, half of the fee is refunded if cancelled before the bracket positioning is approved; no refund after approval.
• For paid aligner design, half of the fee is refunded if cancelled before the aligner plan is approved; no refund after approval. Free aligner designs are not refundable.
• Revision fees that have been paid are not refunded.
• No refund is made after the design files have been delivered.

How refunds are made

• Cancellation requests are made in the portal or by writing to [email protected].
• Refunds are made within 14 days of the cancellation request, using the original payment method: bank transfers to the same account, card payments to the same card.
• The time for a card refund to appear on your statement depends on your bank.
